CRM, ERP and custom business systems

Systems → Integrations → Automation

We automate existing CRM and ERP platforms or build new internal systems for specific company processes: sales, purchasing, stock, documents, finance, customer portals, internal services and APIs.

When standard features are insufficient, we assemble the required components, extend the system with modules and connect it to other data sources and business processes.

Business system assembly and operation

From components to an operational system

First, we build the system around the company, then connect events, data and actions.

Two scenarios within one system

Components form an operational system connecting events and automated actions.

A base platform, modules, integrations and business logic form a single CRM, ERP or internal system. Once deployed, it processes events, updates data, triggers actions and synchronises related processes.

A system built around company processes

In many companies, CRM, ERP and internal services emerge gradually and develop unevenly. Some processes run in one system, others in another, while individual operations remain manual and some work is still handled in Excel, email and chats. Employees spend time entering data twice, switching interfaces, checking statuses manually, passing tasks to colleagues and monitoring processes through messages and spreadsheets.

Often, the company already has systems, but its tools do not form one connected operational environment. Sales are separate from stock, stock from purchasing, and purchasing from finance. Customer data are disconnected from documents, tasks and notifications. Even an existing CRM or ERP may cover only part of the business and leave end-to-end automation unresolved.

The practical requirement is a system designed around real company processes. Some projects automate and extend an existing CRM or ERP. Others build an internal system, customer portal, document workflow module, API layer, analytics component or specialised industry solution. Odoo Community can provide the base, extended with custom modules, integrations, business logic and internal interfaces where required.

This approach builds the architecture around the business rather than fitting processes into a product's limitations. The company gains a manageable system in which data, documents, items, money, statuses and employee actions are connected and follow clear rules.

How the automated system works

CRM, ERP and custom business systems are especially useful when a company has outgrown manual management but does not yet have a convenient unified digital environment. Repetitive actions, scattered databases, many users, standard documents, access roles, approval routes and interdepartmental data transfers become important. Left in disconnected spreadsheets, email and services, these processes become costly, opaque and difficult to manage.

An automated business system starts with the architecture: the entities and modules required, automated actions, necessary human involvement, data access roles and the movement of documents, items, finances and statuses. The application layer then combines CRM for customers, ERP operational logic, stock, purchasing, documents, finance, internal services, dashboards, customer portals and APIs for external connections.

Odoo Community can serve as the base platform for the required modules and rules. When a different architecture is needed, the system can be fully custom: PostgreSQL, Python-script, APIs, web interfaces, internal dashboards and an integration layer. Both approaches aim to fit the company's real processes rather than impose a rigid template.

Unified reference data and semantic matching

A common problem when integrating CRM, ERP, Excel and internal databases is inconsistent reference data. The same product, service, customer or counterparty can have different names, abbreviations and descriptions. For example, a CRM service might be “Scheduled maintenance of office VRF and split systems”, its ERP record “Routine servicing of climate equipment”, and the Excel entry “Air conditioner service: diagnosis, cleaning and preventive maintenance”. Plain string comparison cannot reliably establish that these entries may belong to the same service category.

To address this, the business system includes a mechanism for semantic matching (Semantic Matching / Entity Resolution). The pipeline receives records from different sources, normalises names and attributes, and applies Fuzzy Matching, text Embeddings and LLMs. It compares both wording and meaning, considers additional attributes and identifies records that correspond to the same entity or a shared reference category.

Once a match is confirmed, the system creates a unified reference directory with unique identifiers (Master Data Management). For example, several service descriptions can be linked to a common “Air conditioning system maintenance” entry with one unique ID. Original names and identifiers remain available, while CRM, ERP and other records link to the unified reference entity. Data can then be combined correctly, metrics calculated and documents generated without errors caused by different names for the same service.

The mechanism also handles new data. When an employee creates a product, service or counterparty, or information arrives through an API, the system first searches the existing directory for matches. A match confirmed under the established rules uses the existing ID. A genuinely new entity receives a new entry. Ambiguous cases, especially similar names that may refer to different items or services, go to a person for review.

This functionality can be integrated into Odoo Community, a custom CRM or ERP, or a separate integration module using Python and PostgreSQL. The company gains a consistent information environment with aligned reference data, automatic record matching and controlled data quality. This is especially valuable for purchasing, stock management, sales, financial analytics, BI and other processes where different names for one entity can cause duplicates, incorrect calculations and extra manual work.

What the business gains

Once deployed, the company has a unified operational environment. An event in one part of the system automatically triggers actions elsewhere: a record is created, a status changes, an item is reserved, a document is generated, a notification is sent, reports update and related entities synchronise. Manual work and errors decrease, employees work faster and processes become more transparent. CRM, ERP and internal systems become practical tools for managing the business.

Indicative timeline and cost

Indicative timeline and cost
OptionDurationIndicative cost
A small module, internal subsystem or extension to an existing CRM/ERP2–5 weeks$1,500–5,000
Medium customisation with integrations and several business processes1.5–3 months$5,000–20,000
A medium-scale system based on Odoo Community or a custom architecture3–6 months$5,000–20,000
A large CRM/ERP or internal platform with many roles, modules and integrations6 months or more$20,000+

Exact timelines and costs depend on the modules, number of roles, complexity of the logic, integrations and requirements for interfaces, data and security.
