Request → Validation → ERP → Reservation → Issue → Notification → Completion.
Remove unnecessary steps → Automate → Keep what matters
Business process automation starts with analysing the existing sequence of actions, before choosing software or an AI model.
The system selects the required actions and skips unnecessary steps. Run a scenario to follow the request through the process.
All stages and routes are shown below. JavaScript is required to run the interactive example.
Choose a scenario and click “Start”. The diagram shows how one request is processed.
Manager's decision · approve the non-standard purchase or reject the request?
Core logic:
Request → Validation → Route selection → Automated action → Result
Full workflow:
Web-form / CRM — request creation.python-script — event registration and checks of fields, permissions and duplicates.ERP / API — stock availability check.CRM / ERP — status updates.E-mail / Telegram — notifications.PostgreSQL — logging, recording the outcome and monitoring execution.Request → Validation → ERP → Reservation → Issue → Notification → Completion.
Request → Validation → ERP → Budget check → Automatic order → Notification → Completion.
Request → Validation → ERP → Budget check → Human approval → Approval or rejection → Appropriate action → Completion.
Every business has processes that have accumulated unnecessary steps over time: repeated checks, information transfers between departments, duplicate approvals and repetitive operations in CRM, ERP and other corporate systems.
Our task is to review the entire process and identify which actions can be removed, combined or fully automated, and where human involvement is actually needed.
The result is an automated pipeline that can execute a sequence of operations, check business rules, select a processing route, interact with information systems and handle standard situations without employee intervention.
Consider a company whose employees regularly order equipment, consumables and other items for their departments.
In an automated system, an employee opens a corporate web form, selects the required items and specifies the quantity, department and priority. Submitting the request starts a single automated business process.
First, the system checks the required fields, the employee's permissions and duplicate requests. It then calls ERP through an API to check stock levels.
If the required items are in stock, the system automatically reserves them and creates a warehouse issue task. Purchasing, supplier checks and expense approval are removed from the route because they are unnecessary.
If the items are unavailable, the pipeline checks the department's budget, purchase cost, spending limit and whether an approved supplier is available.
When all conditions comply with the business rules, the system automatically creates a supplier order in ERP. Separate approval is unnecessary if the approved authority rules allow this procedure.
If the amount exceeds the limit or a non-standard condition is detected, the request goes to the responsible manager. The system provides prepared information: requested items, cost, available budget and the reason for the exception.
The manager makes a decision. Approval allows the automated process to continue. If the request is rejected, no order is created and the requester receives a notification.
Every action is logged, statuses update automatically, and participants receive the necessary notifications by email, Telegram or other corporate channels.
The company therefore receives an optimised business process with fewer operations and targeted human involvement, rather than simply automating an existing long sequence of actions.
An automated pipeline starts when an event occurs: a request is created, a status changes, a document arrives, data comes through an API or a scheduled time is reached.
python-script receives the event, determines the task parameters and starts the required operations. PostgreSQL can store process states, execution history and check results.
The system validates data and applies predefined business rules. It selects the appropriate route based on the result, without employee involvement.
Business process automation should both speed up execution and remove actions that are unnecessary in a particular situation.
For example, if an item is already in stock, purchasing does not start at all.
After selecting a route, the pipeline performs operations through APIs: it creates records, updates statuses, reserves items, generates orders, assigns people and transfers data between systems.
This integration replaces repetitive manual employee actions with consistent software logic.
The system makes standard decisions according to previously approved rules. A person joins the process only when limits are exceeded, contradictions arise or a non-standard decision is required.
Control remains in place: each action stays within the defined authority and is recorded in the process history.
A reliable automated pipeline accounts for possible failures: unavailable APIs, repeated events, invalid data and partially completed operations.
It therefore includes state checks, logging, safe retries and protection against duplicate records or orders.
When an exception occurs, the system gives the responsible person a specific task with the required information, without making them repeat the entire process.
Automating repetitive operations and task routing helps to:
The company gains a single, manageable business process rather than a collection of disconnected automated commands.
The same architecture supports customer requests, purchasing, internal approvals, service tickets, HR processes, warehouse operations, deadline monitoring, automatic task assignment and corporate system synchronisation.
The task determines the technologies. AI models can analyse unstructured data or complex conditions, while reliable software logic is preferable for predictable operations.
Do your employees regularly pass requests between departments, approve similar operations and repeat the same actions in CRM and ERP?
